Getting started

Ready on day one.

Start with the documents you already have.

01
The profile, from one document.

Prysme reads an annual report, a capability statement or a company presentation and fills in the organization profile. The team reviews it before it is used, and can also fill it in by hand.

02
The library, from one past proposal.

Prysme splits a past proposal into reusable passages. Each passage is suggested only after the team approves it. A team without past proposals starts with an empty library, which fills as it writes.

03
The first proposal, already structured.

An RFP response opens with eleven sections: ten to draft and a compliance matrix built from the call’s requirements. A grant proposal opens with sixteen: fifteen to draft and an eligibility and compliance checklist built the same way. Each other type opens with its own. The team drafts from its approved content, and the evaluator panel scores the draft the way an evaluator would before it is sent.

Two editions

The edition fits your work. The plan fits your team.

Choosing Prysme takes two decisions: the edition that fits your work, then the plan that fits the size of your team.

The fundamentals

The essentials, covered.

Prysme manages the whole proposal, from the call to the outcome, in five stages. Every plan includes all of them.

01

Prepare

Know the call and what you can offer.

  • Organization profile.Filled from an annual report or capability statement, and checked by your team before use.
  • Approved content library.Approved passages, references and past answers, with review dates for figures that go out of date.
  • Business Opportunity analysis.A bid or no-bid score on fit, eligibility, capacity, relationship, competition, value and timeline, with an AI assessment to start from.
  • Nonprofit Opportunity analysis.A bid or no-bid score on fit, eligibility, capacity, relationship, competition, value and timeline. On a contract, two more criteria: full-cost recovery and cash flow.
  • Requirements.Every requirement and scoring criterion read from the call in a minute or two, each marked mandatory, eligibility, scored, format or attachment.
  • Nonprofit Two-stage calls.A letter of inquiry first, then the full proposal once the funder invites you, with the brief and matching sections carried over.

See the requirements screen ↓

02

Draft

Write from your own sources.

  • AI writing from your sources. Each section drafted in about a minute from your profile, your approved library and the call. A missing figure becomes a question for your team.
  • Figures checked.A sentence with a name or figure not found in any of your sources is held back until your team decides.
  • Reusable answers. The library suggests the passages that fit each section, and checked questionnaire answers are kept for the next one.
  • Templates and starting points.A proposal starts from a template, an earlier proposal, the call itself or a Word file written outside Prysme.
  • House style.Drafts follow your rules: "we" or your name, American or British spelling, words to avoid and preferred terms.
  • Nonprofit US funder formats.A logic model or a logical framework, and a budget by year in US categories, when the funder expects them.

Sample: RFP response, data platform modernization (PDF, 7 pages)

03

Collaborate

Put each expert on the right section.

  • Assignments and deadlines. Each section goes to the person who knows the subject, with a due date. The dashboard shows the next fourteen days.
  • Comments.Comments stay on their section until resolved, and each proposal lists them all on one page.
  • Review and approval.A section moves from drafted to in review to approved. Any earlier version can be restored.
  • Editing at the same time. When two people change the same section, Prysme shows both texts and asks which one to keep.
  • Nonprofit The finance reviewer.Edits the budget, spending, co-funding and cost tables, uploads the agency's cost form, and comments on the rest.

Check: a section edited by hand is redrafted by the AI only with your agreement.

04

Deliver

Produce the document you submit.

  • Business Pricing.Fixed fee or quantity and unit price, with your tax rate and a payment schedule that must total 100%. Cost reimbursement and contract-year rates when the contract calls for them.
  • Nonprofit Cost proposals.Unit rates, cost per participant, rates by contract year or cost reimbursement, with the total labeled as the agency expects. The agency's own Excel cost form is filled in.
  • Legal terms. The contracting party, representative, governing law and taxes come from your legal entity and signatory.
  • Branded Word and PDF.Your fonts, colors, logo and cover page on every export, with a table of contents and the version number.
  • Questionnaires. The buyer's own Excel questionnaire, filled and returned, with each answer in the form requested and the supporting evidence in the comment column.
  • Nonprofit Forms and attachments. Each required form tracked to signed, notarized or attached, then one .zip with the Word file, the signed forms and the completed cost form.

Business Check: the final version is blocked while text is unfinished, a figure has no source, a credential has expired or a mandatory requirement is missing. See an exported price page ↓

Nonprofit Check: the final version is blocked while a required form is not ready, a figure has no source, a credential has expired or a mandatory requirement is missing. See an exported price page ↓

05

Learn

Use each outcome to improve the next proposal.

  • Outcome analysis. The win rate (success rate in the Nonprofit edition) by type and by funder or buyer, the reasons recorded, and the library content used in successful proposals.
  • Content maintenance.Passages past their review date are flagged, near-duplicates are pointed out, and the sections of a submitted proposal become new passages.
  • Nonprofit Reports to funders.Interim, annual and final reports started from the grant, with results against targets and spending against the budget.
  • Contract performance reports.Monthly, quarterly, annual and final reports on a won contract, with its service levels and the units delivered and billed.

Business Check: a contract report blocks its final version while more units are billed than delivered without an explanation.

Nonprofit Sample: report to a funder, interim report (PDF, 7 pages) See spending against the budget ↓

Then an additional layer of review.Within this workflow, before you submit, a panel of AI evaluators reads the whole draft the way the buyer or funder will and scores it against the call's own criteria. One evaluator can be built in one click from the call's scoring grid.

Optional connections

Prysme works on its own, in a browser, with every feature included. Teams that already use Salesforce or Google Drive™ can connect them, so that opportunities and documents come into Prysme without retyping.

SalesforceA proposal can start from a Salesforce Opportunity. When the proposal's status changes, Prysme updates the Salesforce Opportunity's stage, and the amount, close date and win or loss reason when your administrator has chosen those fields. It attaches the Word file when the proposal is marked submitted.
Google DrivePrysme opens an RFP, a call for proposals or a questionnaire from Google Drive, and saves a proposal's Word file to a Drive folder. Each user signs in with their own Google account.

An additional layer of review

A final review before you submit.

Your team has reviewed and approved each section. Before the proposal goes out, Prysme adds a further layer of scrutiny: a panel of AI evaluators reads the whole draft the way the buyer or funder will. Each one scores it against the call's own evaluation criteria and weights, as Prysme read them from the call, and against their profile's criteria. One of them can be built in one click from the call's own scoring grid.

01
27 evaluator profiles across both editions, or your own.23 evaluator profiles in the Business edition, or your own.22 evaluator profiles in the Nonprofit edition, or your own.

The profiles include a buyer's IT director, a buyer's CFO, an information security assessor, a public procurement evaluator, an EU grant evaluator and a community foundation program officer. The Business edition offers 23 of them and the Nonprofit edition 22. The profiles include a buyer's IT director, a buyer's CFO and price reviewer, an information security assessor, a public procurement evaluator and a legal and contracts reviewer. The profiles include a foundation program officer, a grant accountant, a monitoring and evaluation specialist, a public contracting officer, a government program manager and an EU grant evaluator. In a proposal, Prysme offers the profiles that fit its type: buyer readers for RFPs and questionnaires, funder readers for grants and reports. An evaluator can also be built from the call in one click: the call's scoring grid and its weights become the evaluator's criteria.

02
Scored against the call.

Each reviewer scores every criterion, gives a verdict, lists strengths and weaknesses, ranks the fixes by priority and asks the questions you are likely to face. Each fix quotes the relevant passage and names its section. Every reviewer also runs four checks: figures with no visible source, win themes not tied to a scoring criterion, results that restate the activities, and a budget narrative that differs from the budget table or the work plan.

03
You choose the fixes.

Your team selects the fixes it accepts, and Prysme redrafts the affected sections from your own sources. When a fix needs a figure your sources do not contain, Prysme asks you for it. A section edited by hand is redrafted with your agreement. A second run of the panel shows the new scores.

Reports to funders

Reports prepared from the grant proposal.

Prysme prepares interim, annual and final reports on the grants you win. The funder, the project, the indicators with their targets and the budget lines carry over from the grant proposal. Your team enters what was achieved and what was spent. Prysme then drafts the narrative from those figures and from the grant, and checks the report before it goes out.

Results against targets. The table lists each indicator from the logical framework, with its baseline and target. Your team enters the result for the period and to date, or the reason it is missing, and the narrative is drafted from those entries.
Spending against the budget. The table lists each budget line with the amount spent to date. Prysme calculates the variance and asks for an explanation when it exceeds 10%, a threshold your team can change.
Checked before it goes out.An indicator without a result or an unexplained variance blocks the final version, and a figure not found in any of your sources is flagged. A program officer and a grant accountant are among the reviewer profiles for reports.
In both editions.Reports to funders are shown by default in the Nonprofit edition and remain one click away in the Business edition. A report in progress counts as an active proposal. With Salesforce, the report's Word file is attached to the grant's Salesforce Opportunity when the report is submitted.

AI credits measure AI work. As a guide, a full section draft uses about 6 credits, a reviewer about 10, and reading an average opportunity document about 12. The monthly allowance renews each month.

Extra AI credits: 1,000 credits for $69 on any paid plan, valid until used.

Extra team members: packs of 5 at $159 a month on the Professional plan. Each pack adds 10 active proposals and reports and 2,000 AI credits a month.

Extra team members: packs of 5 at $109 a month on the Professional plan. Each pack adds 10 active proposals and reports and 2,000 AI credits a month.

Payment by card through Stripe's secure checkout, or by invoice on request. Applicable taxes are calculated at checkout.

Nonprofit edition. At sign-up, the organization uploads its registration document, as a PDF, JPG or PNG file, and the Nonprofit prices apply at once. AppsTech Labs checks the document afterward. If the organization does not qualify, the workspace moves to the Business edition at the next renewal, with notice to the account owner by email and in Prysme.

The finished document

Pricing and legal terms. In your layout.

Prysme produces the document you submit, in Word or PDF. Price each item at a fixed fee or by quantity and unit price, with your company's tax rate and a payment schedule. Legal terms pull from your company's registration details, governing law and authorized signer. Your fonts, colors, logo and cover page apply to every export, and diagrams are drawn in the same colors.

The RFP

The RFP, read in minutes.

You upload the RFP, terms of reference or call for proposals as a PDF, Word or Excel file. Prysme lists every requirement and scoring criterion, suggests entries for the brief, and highlights potential red flags. Your team plans the response from that list, with less rereading and fewer missed requirements.

English and French

Two languages. Two originals.

Each proposal has its own language, separate from the interface language. To answer in both, Prysme creates a second edition from the same brief, facts and tables and drafts it directly in the other language. French text is checked for common anglicisms.

Questions

Common questions.

Does Prysme draft from our own content?

Yes. Each section is drafted from your company profile, your library, the RFP or call for proposals, and the facts you confirm. When a figure or a detail is missing, Prysme asks you for it, and your answer goes into the next draft.

Can we export to Word?

Yes. Each proposal exports as a Word (.docx) file for final formatting and as a PDF for submission. Your fonts, colors, logo and cover page apply to both, and the compliance matrix can be added as an appendix.

How does review work?

There are two kinds of review. Your team reviews each section: it has an owner and a due date, comments stay attached to it, and it moves from draft through review to approval. The reviewer panel then reads the whole proposal the way the buyer or funder will, and gives each reviewer's score, verdict and priority fixes.

How are requirements tracked?

Prysme lists every requirement and scoring criterion in the RFP or call for proposals. The compliance matrix shows the section that answers each one and its status: addressed, partly addressed, missing or to check.

Do we need Salesforce or Google Drive?

No. Prysme works on its own, in a browser, with every feature included. Salesforce and Google Drive are optional connections for teams that already use them.

Does Prysme work with Salesforce?

Yes, as an option on every plan. You can start a proposal from a Salesforce Opportunity. When the proposal's status changes, Prysme updates the Salesforce Opportunity's stage, and the amount, close date and win or loss reason when your administrator has chosen those fields. It attaches the Word file when the proposal is marked submitted.

Does Prysme work with Google Drive?

Yes, as an option on every plan. You can open an RFP, a call for proposals or a questionnaire from Google Drive, and save a proposal's Word file to a Drive folder. Each user signs in with their own Google account, and access covers the files you choose and the files Prysme saves.

Which edition fits our organization?

It depends on the work you do. The Business edition is for companies that answer RFPs, tenders and questionnaires. The Nonprofit edition is for nonprofits that apply for grants and report to donors, and it includes RFPs and tenders for nonprofits that sell services under contract. Each edition has three plans, based on team size.

What does a nonprofit provide at sign-up?

Its registration document, as a PDF, JPG or PNG file. The Nonprofit edition and its prices apply at once. AppsTech Labs checks the document afterward. If the organization does not qualify, the workspace moves to the Business edition at the next renewal, with notice to the account owner by email and in Prysme.

Does every member use a seat?

Yes. Every active member uses a seat, regardless of role, including reviewers. Deactivating a member frees the seat.

How does billing work?

Plans are billed monthly or yearly, by card through Stripe's secure checkout. Organizations that need to pay by invoice can ask us, and invoices are payable within 30 days. Applicable taxes are calculated at checkout. A cancellation takes effect at the end of the period already paid for. The first payment on a plan, monthly or yearly, is refunded in full if requested within 14 days. See the terms of service for details.

How does Prysme handle our data?

Your content is stored on a private server administered by AppsTech Labs, and each organization's data is kept separate from that of other customers. Prysme drafts and reviews with Anthropic's Claude models. Under Anthropic's terms for commercial products, the content sent to the models is excluded from model training by default and deleted within 30 days. Card payments are processed by Stripe, which holds the card details. After a cancellation, the data remains available for export for 90 days and may then be deleted; on written request, it is deleted sooner, within 30 days. A data processing agreement is available on request. See the security and data note (PDF) for details.

Can we try Prysme first?

Yes. The free trial lasts 14 days, with ten active proposals and 1,000 AI credits. It includes three team members in the Business edition and four in the Nonprofit edition. No credit card is required.

A fourteen-day free trial.

The trial includes three team members, ten active proposals and 1,000 AI credits, with no credit card required. In the Nonprofit edition, it includes four team members. The first sections can be drafted from an RFP you are working on now, once it is uploaded and your company profile is filled in.
